Terms & Conditions

1. Introduction
Takapuna Learning Club (referred to in this document as “TLC”) provides tutoring, learning support, and educational experiences for students in Years 1–10.
By enrolling in any TLC programme, parents/guardians agree to the following Terms & Conditions.

2. Enrolment & Bookings
    2.1 Enrolment is confirmed once the booking form is completed and payment is received.
    2.2 Spaces are limited and allocated on a first-come, first-served basis.
    2.3 Parents/guardians must provide accurate contact, medical, and emergency details and keep this information up to date.
    2.4 TLC reserves the right to decline enrolment if a student’s needs cannot be safely or appropriately supported.

3. Attendance & Session Management
    3.1 Students must arrive and be collected on time.
    3.2 Parents/guardians must sign students in and out unless written permission is provided for alternative arrangements.
    3.3 If a student cannot attend, parents/guardians must notify TLC before the scheduled session begins.

4. Payment, Cancellations & Refunds
    4.1 General Payment Terms
        4.1.1 All fees must be paid prior to the programme start or according to a pre-approved payment plan.
    4.2 Weekly Passes
        4.2.1 Weekly Passes are non-refundable once booked.
        4.2.2 Weekly Passes may be credited to another week if TLC is notified before or during the booked week, once a weekly pass has been used it can not be refunded nor credited.
        4.2.3 Credits depend on availability and must be used within the same term unless otherwise approved by TLC.
    4.3 1-on-1 Tutoring Sessions
        4.3.1 Cancellations made more than 48 hours before the session start time may be refunded or rescheduled.
        4.3.2 Cancellations made within 48 hours of the session start time are non-refundable.
        4.3.3 Rescheduling within 48 hours is at TLC’s discretion and not guaranteed.
    4.4 Missed Sessions
        4.4.1 Sessions missed due to illness may be rescheduled with a medical certificate, subject to tutor availability.
    4.5 Cancellations by TLC
        4.5.1 If TLC must cancel a session due to staff illness, operational issues, or unforeseen circumstances, a full refund or credit will be provided.
    4.6 No Refunds for Change of Circumstances
        4.6.1 TLC does not offer refunds for change-of-mind or change in personal circumstances once a programme has commenced.

5. Behaviour & Expectations
    5.1 Students must behave respectfully toward staff, peers, and property.
    5.2 Bullying, unsafe behaviour, vandalism, or repeated disruption will not be tolerated.
    5.3 TLC may issue warnings, request parent meetings, or remove a student from the programme if behaviour is unsafe or continuously disruptive.
    5.4 No refunds will be given if a student is removed for behavioural reasons.

6. Health, Safety & Wellbeing
    6.1 TLC follows NZ health and safety regulations to ensure a safe environment.
    6.2 Parents must disclose all relevant medical, learning, or behavioural needs.
    6.3 Students who are unwell must not attend TLC. If a child becomes ill during a session,                        parents will be contacted for collection.
    6.4 Staff may administer basic first aid, notify parents/guardians, and call emergency services if required.

7. Personal Belongings
    7.1 Students should avoid bringing valuables to TLC.
    7.2 TLC is not responsible for lost, stolen, or damaged personal items.
